Our client, managing hundreds of seasonal employees, needed to conduct training courses at the start of each season focusing on the safe operation of machinery used daily by their staff.
Previously, each department supervisor responsible for these periodic training sessions had to print out numerous sheets and manually gather signatures from employees.
FastReplySignature provided an efficient solution to streamline this process. The client quickly created a participation certificate and generated a QR code to be displayed at the training location.
Upon completion of the training, employees scanned the QR code with their smartphones. They then filled out the document confirming their attendance, explicitly agreeing to mandatory privacy points, and digitally signing the declaration on their phones.
The client opted not to receive documents via email but could easily verify signatures through a secure portal. Instead, employees received a copy of the signed document in their email inbox.
All signed documents are securely stored in an online archive protected according to privacy regulations (12 months), automatically purging them at the end of this period via the secure portal.
Out of over 150 employees, only 12 did not have smartphones. Most borrowed phones from colleagues to complete the digital signing process. For the remaining 2 employees who preferred not to use colleagues’ phones, printed sheets were scanned and saved in the program’s cloud alongside other signed documents.
The company now maintains a digital archive of all signed training course forms, eliminating the need for paper document storage.
